How to Decorate a Rental Hall

How to Decorate a Rental Hall thumbnail
Rental halls can be custom decorated for a wedding or special occasion.

A beautifully decorated reception hall can make the difference between hosting an average event and a spectacular affair. Transform the signature plain walls and monotone furnishings of a rental hall into a personalized venue full of color and personality. Whether you're hosting a wedding, birthday party or other special occasion, there are several simple and affordable steps you can take to decorate a rental hall that will please you and impress your guests.

Instructions

  1. Establish Your Decoration Plan

    • 1

Select a theme. Determine if you want a motif that ties all of your decorations together. For example, for a wedding you can choose decorative items that match the bride and groom's color scheme. If your event is a dance party with a DJ, set up the rental hall like a night club.

    • 2

Make a list of decorative items you can use to create the theme. In an adjacent column, write down how you would obtain or create each item or a similar item. Cross-check your lists to see what's feasible and affordable, and what can be substituted.

    • 3

Establish your budget. Determine the square footage of your rental hall space as well as the number of guests attending to figure out how much of any decoration you will need. For example, you need to know how large the ceiling is if you plan to fill it with helium balloons. Find out what items are available from the rental hall and what you will need to order. Ask if tables and chair are included in the rental hall price. You should also ask to inspect the tables and chairs - don't assume they are a certain type. If you have your mind set on round tables and wooden ballroom chairs with cushions but only rectangular tables and plastic folding chairs are available, you may want to add furniture rental fees to your budget.

Walk through the space. Make notes on the numbers of entryways, look at the bathrooms, check out the windows and framing. Inspect the space so that when you shop for decorations and are ready to decorate, you will know every aspect of the space and can make efficient decisions. Ask the owners how much time you will have in advance of your event to decorate the space so you can plan accordingly. You should also establish if you will be expected to clean the space when you are done and how much time will be allotted to remove any decorations.

    Decorate the Rental Hall

Cover the walls and ceilings. Tack up sheets of fabric for hanging sheers to establish a rich feeling for your event. You can also do something less dramatic such as tack up party streamers and hang photos of the guest of honor. Release helium balloons upward to cover ceiling tiles or attach tulle to the rafters. Whatever your material choice, take advantage of wall and ceiling space to add color and flare to your event.

    • 6

Create a decorative table setting. If your event will involve lunch or dinner, use cloth table coverings and napkins as well as metal flatware for place settings. Bottles of wine or beverage pitchers and bread baskets can be placed in the center of each table. Or, use a floral arrangement or candle set on each table as a centerpiece. If necessary, cover the chairs based on the color scheme used for linens. Use your judgment about the best way to arrange the tables based on the type of event you are hosting.

Establish stations throughout the venue. Encourage your guests to move throughout the space by setting up things for them to do in different areas of the hall. Set up the band and dance floor in one section, and a bar with cocktails in another. A dessert table might go in a corner. A couch in the foyer could have a guestbook to sign or photo montage scrapbooks to peruse. Make your event dynamic by having guests enjoy mixing and mingling with one another.

Accent the less obvious. Add touches of decorative flair to mantles, door , staircases - even the bathroom. Place scented candles and napkins that match the party's color scheme in the bathroom. Tie balloons or small bouquets of flowers to the banister of a staircase. Add framed pictures of the guest of honor to an inconspicuous mantle. Decorate places that might be normally passed up.
