How to Merge Workbooks in Microsoft Excel

If several users all work on the same Microsoft Excel workbook, it is possible to share the workbook so that all users on a network have access to it. Merging allows each user to update his copy of the workbook with the changes made to the shared copy of the workbook that exists on a network. In order to merge a workbook on a network with your copy of the workbook, you must first add the "Compare and Merge Workbooks Command" to the Microsoft Excel Quick Access Toolbar.

  1. Add Compare and Merge Workbooks Command to Excel

      Launch Microsoft Excel by double-clicking on the desktop shortcut or by clicking on "Start," selecting "Programs," hovering over "Microsoft Office" and clicking on "Microsoft Office Excel."

      Click on the "File" tab at the top of the program. Scroll down and click on "Options." The Excel Options window will appear.

      Click on "Quick Access Toolbar" on the left side of the window.

      Click on the "Choose command from" drop-down box and select "All Commands." A list of command will appear.

      Click on "Compare and Merge Workbooks" from the list of commands. Click the "Add" button to the right. The "Compare and Merge Workbooks" command will appear on the Quick Access Toolbar at the top of the program window. Click "OK."

    Merge Shared Workbook

      Click the "Office" button and select "Open." Locate your local copy of the workbook that you want to update and merge with the shared copy. Double-click it to open it.

      Click the "Compare and Merge Workbooks" icon on the Quick Access Toolbar. The icon resembles a green circle. Click on "Save" if prompted to save your copy of the workbook. A dialog box will appear.

      Navigate to the location of the shared workbook on the network that you want to merge to the copy of the workbook on your computer. Select it.

      Click "OK." The file on your computer will update with the changes on the shared workbook.
