How to Count the Number of Unique Values in a List in Excel


If you have a list that contains duplicate values, it may be difficult to count how many unique occurrences of values are in the list. However, you can use Microsoft Excel, a spreadsheet and data analysis application, to determine how many unique values are in your list.

  • Click and drag the cursor over the column of data in your Excel spreadsheet for which you want to count unique occurrences.

  • Sort your list in alphabetical or numerical order by choosing the Data menu and clicking the Sort A to Z button.

  • Click the buttons for Filter and then Advanced Filter.

  • In the Advanced Filter dialog box, choose the Copy to Another Location radio button, click in the Copy To box and select the range where you would like to paste the unique values, and click the check box next to Unique Records Only.

  • Click OK to populate a list of the unique values from your selected list. You can manually count the number of results or you can count them by selecting the cell just below the end of your unique values list, typing in the function =COUNT( , clicking and dragging through the entire list of unique values, and closing with a parenthesis.
