How Do I Compress a PowerPoint Presentation?
PowerPoint is useful in giving presentations for work, school or special events. You can use charts, graphs, pictures, videos and audio to enhance your presentation with PowerPoint 2010. The more you add to your PowerPoint presentation, though, the larger the file becomes. This can be an issue if you want to save the presentation to bring with you to work or to email it to someone. You can compress the media files in your presentation to reduce the size of the file.

Compress Audio and Video

Open PowerPoint and the presentation that you want to compress.

Click "File" and click "Info."

Click the "Compress Media" button in the "Info" window

Click to choose one of the three options for compressing your file. "Presentation Quality" will reduce the file to save space but maintain the overall video and audio quality. "Internet Quality" will reduce the audio and video quality to that streamed over the Internet. Only choose the final option, "Low Quality," when space is very limited, such as when you're sending the file in an email.

Click "Undo Compress Media" if you are unhappy with the quality of the presentation once you compress the file. This will set it back to the original quality, and you can choose another option.
Compress Images

Open PowerPoint and the presentation with the images you want to compress.

Click the picture or pictures you want to compress to select them.

Go to "Compress Pictures" in the "Adjust" section of the "Format" tab on "Picture Tools."

Check the box next to "Apply to selected pictures only" if you don't want the changes to affect all of the pictures in the presentation, then click "Options."

Click to select the resolution you want to reduce the picture to under "Target output." "Print" reduces the size to 220 ppi, which is still excellent quality on most printers and screens. "Screen" reduces the image to 150 ppi, which is good for Web pages and projectors. "Email" reduces the resolution to 96 ppi, which is the lowest quality available. Click "OK" to apply the changes.
