How to Set Up a Reply From an Address in Gmail

Gmail, Google's powerful web-based email platform, allows users to set up automatic replies to any email they receive. This is useful if you're going on vacation and would like to leave an "out of the office" message to people who contact you while you're away. It has many other practical uses, such as sending an introduction email with contact information, links to your business promotions, delays in replying and any other information you'd like to share with people who send you email. You can set up an automatic reply easily through Gmail's "Vacation Responder" feature.

Instructions

      Log in to your Gmail account and click the cog icon in the upper-right corner.

      Click "Mail Settings" in the drop-down menu.

      Click the "General" tab and scroll down to the "Vacation Responder" section. Click the radio button next to "Vacation Responder on" to turn on the feature.

      Select what date you'd like Gmail to start sending your auto-reply to email senders. Also select what date you'd like the auto-reply to stop sending.

      Type the subject line of your auto-reply into the "Subject" field. You might want to indicate that it is an automatic reply by using a phrase such as "Out of Office Reply:"

      Type the message of your reply in the message field. Include information such as your reason for not replying personally, and the date you expect to be back to replying to email normally.

      Scroll down to the bottom of the page and click the "Save Changes" button. The changes take place immediately.

Tips & Warnings

  • Check the box next to "Only send a response to people in my Contacts" in the Vacation Responder section to avoid sending a vacation response email to unknown email addresses. This avoids confirming your email address to spammers and clogging up mailing lists with your vacation auto-reply.

  • To end your vacation auto-reply, click the "End Now" link in the banner across the top of your Gmail homepage, or re-edit your Vacation Responder settings and select "Vacation Responder off" before clicking the "Save Changes" button.

  • If you select "Only send a response to people in my Contacts" and you have mailing list addresses stored in your Gmail contacts, consider removing the mailing list email addresses from your contacts while your auto-reply is in effect.
