Steps & Instructions on How to Write Full Block Letters
Writing a full block letter is useful in a business setting. The block letter is a formal letter that includes components such as addresses, salutations, body paragraphs, conclusions and enclosures. You might write a block letter on letterhead, or you might simply use full-block format on a plain white sheet. No matter what you choose, a block letter is a great format for any formal message that needs a professional touch.

Enter one space below the date and enter the name and address of the recipient of the letter. Here, you'll want to be formal and use either Ms., Mrs., or Mr. as a heading. For example:
3500 Marginal Way
San Antonio, TX 78833
February 23, 2011
Mr. Paul M. Jones
7835 Paper St.
Houston, TX 23194

Enter another hard return, and begin the letter with a salutation. The salutation should be formal and address the person or committee that is audience to the letter. For example:
3500 Marginal Way
San Antonio, TX 78833
February 23, 2011
Mr. Paul M. Jones
7835 Paper St.
Houston, TX 23194
Dear Mr. Jones,

Enter one more space below the salutation and begin the letter on the left margin without indenting. Begin with a brief introduction that welcomes the reader into the message.
3500 Marginal Way
San Antonio, TX 78833
February 23, 2011
Mr. Paul M. Jones
7835 Paper St.
Houston, TX 23194
Dear Mr. Jones,
It was great to hear from you last week and find that your company is interested in soliciting our marketing services. Your company is young and energetic, and we see great things in the future for Jones Auto.

After the introduction, hard return twice and complete the body paragraph. The body should include all the necessary information the letter needs to convey. For example:
3500 Marginal Way
San Antonio, TX 78833
February 23, 2011
Mr. Paul M. Jones
7835 Paper St.
Houston, TX 23194
Dear Mr. Jones,
It was great to hear from you last week and find that your company is interested in soliciting our marketing services. Your company is young and energetic, and we see great things in the future for Jones Auto.
While we are impressed by your growth over the last two years, we have come to the conclusion that, as a marketing team, we are not the best fit for Jones Auto at this time. We typically try to pair our clients with larger businesses to form a brand that is mutually beneficial. At this time, we do not have a client that fits with the branding necessary for Jones Auto. We have included a list of other firms in the area who we know well, and hope you will find these resources helpful at this time.

Create a conclusion with goodwill and necessary enclosures. The conclusion should leave the reader feeling sated by establishing a good relationship between the reader and writer and leaving the reader information about how to contact the writer. Include a proper salutation, such as "Sincerely," and indicate if there are any enclosures or attachments. For example:
3500 Marginal Way
San Antonio, TX 78833
February 23, 2011
Mr. Paul M. Jones
7835 Paper St.
Houston, TX 23194
