If done correctly, a letter of complaint can be an effective business tool.

When you have something negative to say about your job, your job duties, a project at work or your co-workers, you might be tempted to simply walk to your boss's office and start venting. However, this is not always the best idea. Instead, you should take the time to collect your thoughts and write them down in the form of a complaint letter. That way, your boss can see that you have put some thought into your suggestions and are not just letting your emotions get the best of you.

      Address the letter professionally. This means typing your name and contact information at the top, your boss's below that and then the date you plan to deliver it.

      Start the letter with a formal greeting.

      Explain the reason for the complaint letter briefly in the first paragraph. However, do not make it sound forceful or overly curt. Phrase the problem issue in the form of a suggestion or request. For example, instead of saying "I have a real problem with Doug Benson heading up the Henderson account project," say "I would like to request that someone within my department be considered as the new project leader for the Henderson account." You can also phrase it like a question: '"Would it be possible to consider someone within my department as the new project leader for the Henderson account?"

      Describe how your request or suggestion might benefit your boss or the company, not you. If questioning the choice of a project leader, describe how certain people in your department have more relevant experience than the current project leader. Make specific suggestions as to how they could do a better job, such as finishing the project earlier or offering specific expertise.

      Thank your boss for considering your request or suggestion in the last paragraph, and politely ask when you should expect a response.

      Sign the letter professionally with a closing like "Regards" or "Sincerely." Sign and type your name underneath to end the complaint letter.
