Business solicitation letters are necessary to get the sponsorship you need.

Business solicitation letters, also known as letters of request for donations, are important when fundraising. The letters alert recipients to the need for donations and/or participation on behalf of a particular cause. Most campaigns and events cannot function without the help and support of sponsors, donors and volunteers.

      If you don't have letterhead stationery, type your name, title and the organization you represent and its address, including ZIP code, in the upper left-hand corner of the letter. At least three spaces below this, type the date. And at least three spaces below this, type the recipient's name, title and business name and address, including ZIP code.

      Start the letter with "Dear," followed by the full name of the person to whom the letter will be sent. Avoid use of the generic "To whom it may concern." The personal touch is always best. If you don't know the identity of the contact person, call the business and ask who is in charge of the finance department or charitable giving.

      Start the body of the letter by explaining your cause and thanking the reader for taking the time to consider contributing to it. If you have spoken with the person previously, note your appreciation and eagerness to build a relationship with his or her business. Be sure to use the company's legal name.

      Begin the second paragraph by giving the name of the event and the time and date it is scheduled to be held, and offering a description of what will happen there. State the campaign's financial goal and the donation amount being requested from the company. Explain how every donation is important in making the fundraiser a success.

      Explain the aim of the campaign and how the funds will be distributed. Include any background information on the charity and how it has helped serve the community in the past, if applicable. When soliciting a business for funds, it's always important to indicate the purpose of the donation.

      In a new paragraph, list possible ways that you can assist the would-be sponsor. Promotions, advertising and networking can be of great benefit to the company.

      Your last paragraph should thank the reader for his or her time and provide contact information, including your phone number and e-mail address. End with "Sincerely," followed by your name.
