How to Embed Font with Acrobat

Failure to embed a font can destroy the look of an Adobe Acrobat PDF document when it is viewed on other computers. Not all fonts transfer seamlessly from computer to computer, especially when you go from a Mac to a PC or vice versa -- even if both computers have Acrobat. Acrobat can only display fonts that are already in your computer or that are tied to the document being displayed. Embedding a font in Acrobat, however, links that font to your document, ensuring your work is the same no matter where it is viewed.

      Click "Tools" in the top menu bar in Acrobat. Drag your mouse down to "Advanced Editing." Click "TouchUp Text Tool."

      Click on the part of the document that has the font you want to embed. Hold your mouse button down and drag your mouse to select the entirety of the text you wish to embed. This creates a boundary around the text called a bounding box.

      Access the "TouchUp Properties" window by right-clicking on the text you selected and dragging your mouse down to "Properties." This is where the font name, properties and embedding capabilities are located.

      Click on the tab labeled "Text," to display your font's name with its embed capabilities listed below it. Click the name of the font, then click the specific embed option you would like to use. You can completely embed the font so that it is permanently linked to the document at all times; alternately, select an option that only embeds the font to your document during printing and previews. This makes editing easier, because it saves you from having to remove an embed if you change your mind about which font you want in the document.

      Close the "TouchUp Properties" window. If prompted, click "Yes" when asked if you would like to save your embed selection.

Tips & Warnings

  • If you plan to make a lot of edits, embed for print and preview only. Then, once you have your fonts definitively chosen, embed them to the document completely.

  • Not every font can be embedded to a document. For some fonts, you'll get a dialog box noting that they can't be embedded, and should thus only be used if absolutely necessary. The more universal your font, the better.
