How to Print W2 & 1099 in Intuit
When it comes to running a business, printing the correct tax forms is very important. Printing W2 and 1099 forms straight from your computer is possible and can be done using forms from the IRS or blank paper.

Printing W-2 Forms

Load your blank or preprinted W-2 forms correctly into the printer. If you have a continuous-feed printer, you might need to adjust for additional thickness.
If you have a single-sheet printer, do not collate your copies. Load all the Copy A forms, and print those. After you have printed all the Copy A forms, load and print the Copy B forms. Continue until you have printed all the copies you need.

Choose "Employees" > "Payroll Tax Forms and W-2s" > "Process Payroll Forms."
For Simple Start, click "Payroll" to go to the "Payroll Center" and then select "Process Payroll Forms."

Select "Federal Form" and click "OK."

Select "Annual Form W-2" in the "Select Payroll Form" window. Next to "Process W-2s For," choose "All Employees," or to select a range, select "Employee's Last Name" and enter the alphabetical range. Under "Select Filing Period," enter the year of the W-2 forms to produce. Click "OK."

Select the employees whose W-2 forms you want to print by clicking in the check mark column on the left side of the window, in the "Select Employees For Form W-2" window. Or click "Mark All" to select all employees displayed.
If you have not reviewed all the W-2 forms (as indicated by missing checkmarks in the Review3ed column), click "Review/Edit W-2" first. Before Quickbooks can print a W-2 form, it should be reviewed. Once reviewed, click "Print For Your Records."
If you have reviewed your forms, click "Print/E-File."

Select the type of paper you want to print on, the items you would like to print and if you would like to provide W-2s online, in the "Print W-2 Forms" window.

Click "Print" when you are ready to print.

Load the forms for the next copy and click "Print W-2s" again, for single sheet printers, until you have printed all the copies you need.
Printing 1099 Forms

Choose "Vendors" > "Print 1099s."

Select the date range from which the 1099s were paid and click "OK."

Select the 1099s you want to print and click the "Print 1099s" button.
To check alignment or to review the 1099, click the "Preview 1099s" button before printing.

Follow the on-screen instructions to print.

Tips & Warnings
Determine whether the form you want to print is allowed to be printed on blank paper. You can print government-accepted black and white laser W-2, Copy A, and W-3 forms on plain paper. There is no need to buy preprinted red W-2 Copy A or W-3 forms. However, the IRS requires the use of performated paper for any Employee Copy W-2 that is printed on plain paper.
1099-Misc and 1096 forms must be printed on preprinted forms.
You can print tax information on preprinted Forms W-2, W-3, 1099-Misc and 1096. Special ink on the forms enables them to be scanned at the governement offices where they are processed. Because tax form printing formats can change from year to year, be sure to order new forms each year.
To email the W-2 from Adobe Reader, do one of the following:
Choose "File" > "Send" > "Page by Email."
Save as an attachment and add it as attachment to your email.
