How to Print Out Check Stubs
Though federal law does not require employers to give employees a paycheck stub, employers like to offer a valuable proof of income. Stubs also reduce the likelihood of the employee challenging a pay since stubs usually number of hours worked and hourly wage earned. Many states require employers to give employees a check stub with designated information. As an employer, pay stubs also make record keeping easier. The easiest way to generate multiple and accurate pay stubs is with a computer and printer.

Read your state laws for the necessary pay stub information. For example, California requires an employer to include its name and address, the employee's name, last four digits of her Social Security number or employee identification number, pay period start and end dates, pay date, total work hours, hourly pay rates relevant to each type of earnings, deductions stated separately or as an aggregate amount, salary, if applicable, and gross and net wages earned. Many employers also include the employee's year-to-date deductions.

Print check stubs via payroll or accounting software. Software, such as QuickBooks, Sage Peachtree, Ultimate Software and ZPAY allow you to print paychecks and check stubs. The procedure varies by software. For example, you make payroll record changes in with the software, such as pay raises and address or deduction changes, enter employee work hours, calculate the payroll, create the deposit file, verify the payroll then follow the software's instructions for printing paychecks and stubs.

Create stubs with an online paycheck calculator, such as Paycheck City or Paycheck Manager. For example, to print check stubs with Paycheckcity.com, sign up for a free registration. Select the salary or hourly calculator. Input the necessary pay and deduction information, such as pay rate, hours and federal income tax withholding data as per your W-4 form. Press "Calculate" to see details of your gross-to-net earnings and to print the check stub.

Print check stubs via a spreadsheet program. Open a new worksheet and put the employer name and address. Then, put the employee's identifying information, such as employee identification number. Include the pay period dates and the pay date. Create the necessary headings, such as regular and overtime hours, hourly pay rates, gross salary and total take home pay. Enter all payroll information for each employee before printing the check stub. Save the blank template on your hard-drive for future use.
