How to Print a W-2 on Plain Paper
The Internal Revenue Service, or IRS, sets very specific standards for employers sending W-2 forms to their employees. In addition to correctly placing all of the information according to each individual, employers must meet certain standards.
The IRS requires employers printing on plain paper to separate the W-2 into the four sheets or have perforated lines so that employees can separate the W-2 pages.

Set up the W-2 form so it has all four forms on the same page, two sets on top of the page and two sets on the bottom of the page. Methods for setting up the page vary depending on the program in use; using two columns works for most computer programs.

Print the page. Select the "File" drop-down menu and and click on "Print" or use the keyboard shortcut by pressing the "Ctrl" and "P" keys.

Cut the W-2 form into four pieces. Use scissors or a paper cutter to separate the sections of the form. A paper cutter makes the lines even and straight.

Plain perforated paper is available in stores that sell office supplies. Use it for printing W-2 forms without having to cut the paper.
