How to Attach PDF Files in Access 2003
Microsoft Access 2003 is a lightweight, easy-to-use database application that ships with some versions of Microsoft Office 2003. Access 2003 performs many functions of much larger database applications. Access 2003 includes two views for working within the application: Datasheet view and Design view. To insert files into a field in Access 2003, use Design view. Access 2003 also supports creating an OLE field type, short for "Object Linking and Embedding," which may contain documents and images. However, Access 2003 does not directly support PDFs as an OLE object. To insert PDFs into an Access 2003 field, the documents must first be converted to a compatible format.

Convert the PDF to an Access-2003 Compatible Format

Open a web browser and navigate to one of the free conversion websites (See Resources).

Follow the on-screen instructions to load and convert the PDF to a compatible file type for Access 2003. Compatible file types include:
Icon (.ico)
Joint Photographic Experts Group (JPEG) (.jpg)
Macintosh PICT (.pict)
Portable Network Graphics (.png)
Windows Bitmap (.bmp)
WordPerfect Graphic (.wpg)
Windows Bitmap (.bmp)
Device-independent bitmap (.dib) Computer Graphics Metafile (.cgm)
CorelDraw (.cdr)
Encapsulated PostScript (.eps)

Download the converted file and save the the computer's desktop.
Insert the Converted Document into an Access 2003 Field

Open Microsoft Access 2003. Select the table where the documents will be inserted from the left navigation panel.

Click the "Design View" icon from the top navigation bar to open the table in Design View.

Type a Field Name for the column that will hold the document files into the first blank cell at the bottom left of the table.

Select "OLE Object" from the "Data Type" drop-down box.

Click the "Save" icon on the top navigation bar to save the table.

Click "File" and then click "Exit" to close the table.

Re-open the table but in Datasheet view this time. To do this, right-click on the table to open in the left navigation pane and select the "Datasheet" icon from the top navigation bar. Documents and images, which are OLE objects, may be inserted into the newly created OLE Object field in Datasheet view.

Right-click on the first instance of the new field in Datasheet view and select "Insert Object" from the context menu. The File Navigation dialog box will appear and allow the user to select the document file from the computer.

Navigate to and select the document file and then click "OK." The file will be inserted into the cell.

Repeat the process to insert converted PDF documents into all relevant cells.

Click "Save" to save the work.
