How to Set Up Operating Executive Board Positions

Running a nonprofit organization or a business can be a tough job for one person. If your group or company becomes large enough, you will need to set up an operating executive board to make important decisions about the future. If you are creating this board for the first time, first set up the different positions by defining each role, then have the board members vote for who will fill each role.

      Meet with the other members of the executive board to create an outline of each position and what is expected of each member. Input from all members of your board can help shape the leadership and determine what is needed from each individual who will hold the positions. Decide how long the term should be and how often you will have elections.

      Create a description for the President of the board. The President will schedule and run each board meeting and will need to be extremely knowledgeable of the goals of the organization and how the group operates. The President will also formally run each meeting and run the elections of new board members at the end of his term.

      Create a description for the Vice President position. The Vice President is an individual who is gearing toward becoming the President. This individual will assist the President in any way she can and run meetings or act as the President in case of his absence. The Vice President should also act as a liaison between the board and the President.

      Create a description for the Secretary. The Secretary's job is to be the official note taker of the executive board. The Secretary should keep accurate minutes during each and every meeting and provide these minutes to other board members. The Secretary is also responsible for the logistics of planning each meeting, such as reserving the space or notifying members.

      Create a description for the Treasurer position. The Treasurer is responsible for the organization's bookkeeping and for implementing any budget measures that are created during board meetings. This person should maintain budget numbers and prepare a report for each board meeting to inform other members of the business's or group's current operations.

      Hold an election to choose who will fill the positions you have created. This can be done during a normal board meeting by allowing members to nominate other members and then vote. Members who were awarded a position should take the position immediately, while others should be referred to as Members-At-Large.
