How to Prepare a Plaque for a Previous President

Honor the board's outgoing president.

A board of directors president, also referred to as a chair, not only presides over board meetings, but serves as the organization's key volunteer. After the outgoing president assists the board's transition to a new president, many boards or volunteer groups wish to express appreciation. Select a plaque over a consumable gift for a lasting and displayable reminder. Some organizations have a fund for appreciation gifts, while some rely on the contribution of other volunteers and employees.

Instructions

    • 1

Determine the funding source. Ask the treasury if funds exist. Gauge board member and volunteer interest in pooling personal donations for a plaque if needed. Resist the temptation to use a donated plaque or a gift certificate for engraving intended as an auction or raffle prize.Victor Futter, author of Nonprofit Governance and Management, reminds boards that such in-kind donations must be used for the intended and documented purpose of the donor.

    • 2

Plan the presentation. If you give the award at a special dinner or the last board meeting with the president presiding, make note of an ordering deadline and make contact with the relevant organizers of the event to inform them of the presentation so they may be able to work it into their plans with as much lead time as possible.

    • 3

Peruse the catalog of a local trophy shop for inspiration and ideas of limitations. Some plaques can engrave a company logo, but the cost may increase.

    • 4

Select a style. Hanging plaques proudly hang on a wall of fame. If the recipient shares an office, a desk set with an affixed engrave-able plaque serves as a daily reminder without crowding out office mates.

    • 5

Compose the wording. Choose a humorous or standard sentiment depending on the personality of the recipient and relationship with the board. If funny quotes are chosen, make sure they do not embarrass the recipient. Include dates of service and the name of the company or individual board members. Allow the plaque maker to make executive decisions about font and color unless they play a key role in the look of the final product.

Appoint a board member to order the plaque from a reputable company and to pick it up when complete.
