How to Create a Software Release Form

Software refers to a specifically structured compilation of computer data and instructions. It is created using programming languages that determine the function and use of the software. Consequently, software falls under two categories: system software and application software. The release of software involves the distribution and documentation of the software code as well as support materials in relation to the use of the software. A software release form is a legal document required by the software creator to give the user the right to utilize the software.

      Open your document editor, such as Microsoft Word. Click "File" to open the drop-down menu. Click on "New" to open a new document to create the form.

      Go to toolbar menu at the top and click on "Format." Select a font, a font style and a font size. For instance, you can select the "Times New Roman" font, "Regular" font style and "12" font size.

      Type the name of your software company at the top of the form. Highlight the company name and select the "Underline" option in the tool menu at the top to underline your company name. Press the "Enter" button on your keyboard to go to the second line and type the name of the form: "Software Release Form."

      Skip two lines and begin typing the words for the body of the form. Type out the following words on separate lines: Organization Name, Mailing Address, Contact Name, Email Address and Phone Number. Place a colon at the end of each word and leave a blank space in the line. The software requester (the company or person to whom the software is being released) will fill in the name of his organization and his contact information in these lines.

      Skip a line and type "Description of Software." Press the "Enter" button on your computer keyboard to go to the next line. Write a short paragraph that provides a brief description of your software. Include information such as the name of your software, its functions and uses. Also list any supporting materials and tools related to the function of your software.

      Press the "Enter" key and start a new paragraph that states the distribution format and the preferred methods of your software distribution media. Indicate whether the software can be downloaded via the Internet or via another type of media, such as a disc. This will give the software requester an idea of how she can access your software.

      Write an acknowledgment or agreement statement at the end of the form that declares the acknowledgment of receipt of the software and agreement to terms of use.

      Require the dated signatures of the authorized recipient and the authorized personnel releasing the software. Format the document so that each party can sign and date his signature on a line above the words "Signature" and "Date." If necessary, include a line where the requester can print out her full name.

      Edit the form and correct any spelling or grammatical errors and save the document. Review the form and print it.
