How to Write a Business Letter Requesting a Financial Report

Businesses or individuals may want a financial report from a company for investing purposes, comparison reasons or for educational purposes. When a financial report of a company is wanted, a person can sometimes download one from the Internet, or the person can send a written request to the company asking for a copy of the most recent financial report available. When this request is made, it should be polite, formal and include the proper information needed by the company to process the request.

Fill in the top of the letter with basic information. The top of the letter should state the date, your name and address and the name and address of the recipient.

Begin the letter with the word “Dear” or “To Whom This May Concern.” Whenever a request letter is sent out, it is important to be polite and respectful to the person who is receiving the letter.

State your purpose of the letter. A letter requesting a financial report should be clear and specific about the request. It can begin by stating, “My company is writing you this letter to request a copy of your company’s most recent financial report.” It is vital to be clear and concise, allowing the reader to know immediately what the point of the letter is.

Explain your request. The next paragraph should explain in detail why this request is being made. If it is for business reasons, then state that. Be sure to mention in this paragraph if there is a deadline you are hoping to receive the report by.

Provide your contact information. The next paragraph should state your phone number and email address and should explain that your address is listed on the top of the letter. A phone number and email address are important to list if the company needs to contact you with any questions or comments.

Thank the company. The letter should be closed by thanking the company for its consideration in this matter. The writer of the letter should sign his name and enclose the letter in an envelope and mail it to the company.
