How to Create Newsletter Event Calendars

Newsletters are often created by organizations to keep members up to date about what is going on with the organization and on different ways that they can be involved. Most newsletters have a calendar to inform about upcoming events, ranging from members' birthdays to holidays and activities that are scheduled. You may want to create a unique calendar design (such as a Halloween-themed calendar in October or a Valentine's Day-themed one in February) and this can be done on any word processing system included on your computer.

      Make a list of all dates to be put on the calendar.

      To make sure that you have space for all the events, holidays or activities that you are putting into the calendar, make a list of all this information. The organization for which your newsletter is written will decide what gets put into the calendar and which events have priority in the calendar.

      Choose a calendar template.

      From the templates in the word processing program that you are using, choose a template of the calendar that will fit best in your newsletter and offer the flexibility that you might need. For example, if you need to add a lot of detail into the date boxes of the calendar, you would want to choose a calendar template with date boxes that have a larger area -- but still looks presentable.

      Fill in the date boxes with events and their times, holidays and other information that you would like to include into the appropriate dates on the calendar.

      Using the list of events to be added to the calendar, fill in all the information. Add holidays, birthdays, fundraisers and all other information that you want to add. As you add the events, check them off your lists so that you don't overlook anything.

      Check the spelling and the times on the calendars to make sure they are all correct.

      Choose formatting for the calendar.

      Once you have filled out the calendar, choose the font and font size that does not clutter the date boxes and is not too hard to read. Try different ones until you find one that fits.

      Add final details.

      Add images, a key or legend (if you have special characters included in your calendar, special remarks or additional reminders about events that are especially important. If there are upcoming events that you want to include, add that as well.
