How to Print Paychecks With Stubs

How to Print Paychecks With Stubs thumbnail
Give employees a payroll check stub if state law requires it.

If you do not offer direct deposit to your employees, or if some choose not to use it, you can pay them via a live paycheck. In this case, you give them an actual payroll check that they can deposit into their bank account or cash at a financial/check cashing institution. The Fair Labor Standards Act does not require you to give employees a pay stub; however, your state might. A pay stub shows the employee's earnings and deductions for the pay period. You can create and print paychecks with stubs in various ways.

Instructions

Use payroll or accounting software to generate and print paychecks with stubs. Choose the payroll vendor that best suits your needs. If you are a small business owner, for example, you can use QuickBooks, which has accounting features attached; if you are a mid-sized company, you can go with Ultimate Software, which has HR features attached; if you are a larger company, you can use FACT software, designed for complex payrolls. Payroll and accounting software calculates wages and deductions, and generates and prints paychecks with stubs. You can purchase the paychecks with the stubs attached from the software vendor.

Buy blank paychecks with the stub attached from an office supply store. The vendor includes your bank account information on the check. You can choose the type of stub you want, such as a perforated attachment at the bottom of the payroll check or affixed to the side of the check. You may hand-write the paycheck and stub information, but for a more professional look, use a typewriter with an erase feature.

Use your bank checks to create the paycheck and write the stub as a separate written document. This practice is acceptable as long as the paycheck and stub contains the necessary information. The state of California, for example, says the pay stub can be a detachable part of the check or a separate written document. Print the information legibly in ink on the paycheck and the stub.
