How to Tie a Barcode to a Field in Access

Microsoft Access is a database application that is used to store information in a tabular format consisting of rows and columns. The columns are also referred to as "fields," while the rows are "records." Typically data is stored as text, but Access also provides an option for storing information, such as images. This can be helpful when inserting a barcode image into your database, as users can then tie, or link, a barcode to an Access data field.

Instructions

    • 1

Navigate to your database file, then double-click it to launch the database in Access.

    • 2

Click the "Tables" option in the "Objects" column on the left side of the screen, then double-click a table name in the center of the window.

    • 3

Right-click at the top of the table, and then choose the "Table Design" option.

    • 4

Click the cell in the "Data Type" column that corresponds to the field where you are going to be tying a barcode, then select the "OLE Object" option. If the field that you are changing already contains data, then you may want to create a new field in the next open cell in the "Field Name" column. This will help to prevent any data loss or corruption.

    • 5

Right-click at the top of the table and select the "Datasheet View" option.

    • 6

Right-click in a cell within the field that you just changed, then choose the "Insert Object" option.

    • 7

Select the "Create From File" option on the left side of the window, then click the "Browse" button and navigate to the location of your barcode image.

    • 8

Click the box next to "Link," then click the "OK" button.

Tips & Warnings

  • If you would like to embed your image directly into the Access database table, be sure to leave the box next to "Link" empty after clicking the "Create From File" button.

  • Adding images to your database can drastically increase the size of the file. If your database is already large, consider using a link for your barcode images, instead of embedding the image.
