Employee training has become a cost-effective endeavor due to technological advances. Conferencing software, coupled with telecommunications equipment, make sharing information a simple process. Since many companies offer distance training to staff at off-site locations, careful planning and preparation ensure smooth execution. At a minimum, employees can participate in training using a computer with an Internet connection and a telephone to participate in discussion.

      Contact the training facilitator. The facilitator can provide you with a schedule, a list of supplemental materials and other requirements. Ask the facilitator to provide a list of items he or she will need. Reserve a mutually agreeable date for your group of employees. Keep in mind that if the training requires supplemental materials---manuals, software or quizzes, for example---your ability to acquire them may influence scheduling.

      Find out if your company has a distance-learning vendor. Contact your information technology department to inquire about webinar software. Webinar software facilitates long-distance conferences by providing a venue for communication and collaborative learning.

      Contact your company's audio/visual department. If you will hold the training in a common area, you will need AV assistance. For example, to hold training in a conference room, request a projector, a computer and an Internet connection.

      Schedule your resources. Reserve conference rooms and equipment and order printing jobs ahead of time. This ensures every required resource is available prior to the training.

      Send a meeting request. Invite each employee to the training once you confirm dates and secure the required materials.
