How to Write a Thank-You Note for Volunteering
You deeply appreciate all that volunteers do for your organization but are wondering how to write a thank-you note to let them know just how much their volunteer service means to you and those you serve. The good news is you do not have to be Shakespeare to write a heartfelt thank-you note for volunteering. A few sentences can carry a powerful message of gratitude that makes your volunteers glad to help you out again and again.

Acknowledge the volunteer's effort in the first few sentences. Be as specific as possible about the tasks he performed to make him feel recognized as an individual. If your organization has a standard thank-you letter, a personalized handwritten notation at the top or bottom will give your gratitude more authenticity than a form letter. Consider handwriting each note, if possible, for a personal touch.

Write a sentence or two explaining exactly how the volunteer's service benefits your organization and what it allows you to accomplish.

Write a few sentences that highlight the bigger picture. Describe how she touches others' lives by the work made possible through her service. Make her feel as if she is part of something larger than herself.

Compliment him on specific character traits that he displayed through his service: being trustworthy, dependable, kind, generous, hardworking, cheerful, respectful and so on.

Say thank you once more and wish her well in the future. Sign the note by hand with a different color pen than the printed ink, if printing notes from the computer.

Tips & Warnings
Write your thank-you notes within a day or two of the volunteer event. Deliver or mail them promptly.
Use company stationery or get some attractive note cards.
Your thank-you note should have the ring of sincerity rather than a generic-sounding formula.
