How to Avoid Ineffective Business Communication

Being professional and running a business effectively has a lot to do with the right level of communication. If you are able to communicate in business effectively, your chances of succeeding in your chosen profession are great. This is not just because you can effectively communicate to get what you want --- professionally speaking --- but also because you avoid the pitfalls that can befall an individual who does not know how to properly communicate, one of which includes the potential for misunderstanding among your co-workers.

      Speak clearly and confidently any time you communicate with your colleagues. One of the most ineffective methods of communication occurs when you mumble or speak so softly no one can hear you. The end result is that you don't effectively make your point and it becomes moot.

      Put everything in writing. This is perhaps the most commonly used way to avoid ineffective business communication because people can always refer back to whatever you've communicated in writing. If you take notes in a meeting or make a point to a colleague or superior, follow up with an e-mail or intra-office memo verifying everything that was both said and agreed upon.

      Address problems before they get out of hand. And if you think that things between you and another colleague might escalate and it is due to an inability to communicate properly, ask a supervisor or human resources representative for assistance in resolving the issue. Sometimes an outside source can provide valuable insight into an issue and facilitate open lines of communication once again.

      Don't allow yourself to raise your voice or argue with a co-worker as this is very ineffective. When you allow yourself to get angry and your emotions to take over, then no one is thinking clearly and you won't make any progress. Remain calm and professional at all times and if you think you cannot do that, then walk away until you calm down. Then try to work things out.
