How to Add Toolbar Icons to QuickBooks

QuickBooks has an icon for just about every function within its program. Some users feel that there are more icons that truly needs to be on that home screen. It is possible to add icons to the toolbar for functions that are not already there. By using the "Customize Icons" feature, you can change the look of, position of and function of each icon. This can help further customize the look of your QuickBooks desktop to one you feel comfortable using.

  • Open QuickBooks and click on the "Home" icon. Click the "arrow" next to the last icon on the icon menu. The side menu will open with a list of all other icons for the functions that do not fit onto the icon toolbar.

  • Click on the "View" button in the top menu bar and scroll down to the "Customize Icon Bar" option. If the menu item is dimmed and you are not able to click on it, return to the "View" menu and place a check-mark next to the "Icon Bar." The "Customize Icon Bar" will open. Note that the order of the icons in the content list box will match the order on the actual Icon toolbar.

  • Select the name of the Icon that you want to appear before your new icon and then click the "Add" button. The "Add Icon Bar Item" window will open below the "Customize Icon Bar" window. This window includes a list of each function of QuickBooks software in one column and a column made up of graphics to use for the icons for the function you wish to add to the Toolbar.

    Choose the function you wish to add to the Toolbar by clicking it in the list of functions on the left side of the window. Scroll through the pictures available for you to use to identify that function. When you have found one you prefer, click on it.

  • Enter the "Label" you wish to use to identify the icon you are adding to the Toolbar. The default label will automatically be entered by the QuickBooks software. You have the option now of changing the description of this function by changing the default wording in the "Description" window. Click "Ok" in the "Add Icon" window. Now click "Ok" in the "Customize Icon Bar" window.

  • Reorder added icons if desired by left-clicking on and holding the small diamond in the "Icon Bar Content" list and using the mouse to drag the new icon up the list to the position you wish to have it in the Icon Menu Toolbar. Your new icon will now be in the list at the top of your home screen.
