How to Create Templates for Common E-mail Messages

If you regularly send similar e-mail messages, such as information about an upcoming event, you can save time and effort by using a template and customizing it as needed. These instructions are for Eudora and Microsoft Outlook. The procedure may vary with other e-mail software.

Instructions

Things You'll Need:

    Outlook

  1. Step 1

    Compose the first message and send it.

  2. Step 2

    Open the Sent Items folder.

  3. Step 3

    Open the message you just sent.

  4. Step 4

    Open the Actions menu and click Resend Message.

  5. Step 5

    Change the address to that of the next recipient and customize the content.

  6. Step 6

    Click Send.

  7. Eudora

  8. Step 1

    Open Eudora.

  9. Step 2

    From the message menu, click on New Message. A new message will open.

  10. Step 3

    Leave the To field empty.

  11. Step 4

    Enter a subject in the subject line.

  12. Step 5

    Enter your message in the body of the e-mail.

  13. Step 6

    From the File menu, click Save.

  14. Step 7

    When you want to send the message, select the message by clicking on it. From the File menu, click on Redirect.

  15. Step 8

    Add any custom content that you want. For example, you might want to include the recipient's name in the salutation.

  16. Step 9

    Click Send. The message will be sent while the original remains for you to customize and send again.

Tips & Warnings
  • You might find it helpful to create a mailbox specifically for your templates. To do this, go to the Mailbox menu and click on New. Name your mailbox Templates or any name that you prefer.
  • Click on your saved message to select it. Then from the Transfer menu, select your new mailbox and transfer your saved message into it.
  • Be sure to Redirect the message rather than using Forward or Reply. Only Redirect will send the message correctly while allowing you to reuse the saved version.

on 11/22/2005 You can create a template of an e-mail message in Outlook Express by saving the document just before sending it. Outlook Express will put it into the Drafts folder.
