How to Set Printer Settings to a Mailbox

Printing to a mailbox can augment your office confidentiality and security regulations.

Digital copiers that have internal hard drives often have several printing options when connected to the network and equipped with a print board. One common option is printing to a mailbox. Manufacturers differ on the names they use for this feature. Some call it "secure printing," and others use "mailbox printing." Whatever name is used, printing to a mailbox results in your print job being stored on the hard drive of the copier and will not be printed until you either release the print with a code or instruct the copier to print the document.

Step 1

Press the "File" button from within the application that you wish to print from. This will open a drop-down list of options.

Step 2

Click on "Print." A list of available printers will show up in a new window. If you have only one printer loaded, the dialog and option box will appear on your screen for that specific printer. If you have more than one printer, you will need to select the printer that has the mailbox feature. Selecting that printer will open up its dialog and preference window.

Step 3

Click on the "Preferences" box. In the upper-right-hand corner of the printer dialog box, there will be a box that, once clicked, will bring you into the preferences for your printer.

Step 4

Select "Mailbox." Once you set your printing preferences, there will be a drop-down box in the upper-right-hand corner of the printer preference box that will give you the printing options available. Common options are normal print, secure printing or mailbox printing. Selecting the mailbox option will open another screen where you will need to select which mailbox you want to send the document to.

Step 5

Select "Apply" to save your printing settings. Note that the settings saved will only apply to the document that is currently opened and will not change the default printer settings.

Step 6

Press "OK" from the print screen. After you apply your printing settings, the printer dialog box will appear back on your screen. Select the "OK" button to send your print job to the selected printer.
