FileMaker Pro and Microsoft Access are both database applications. Although they perform basically the same function, their file formats are different. The FileMaker Pro file format is (.fp), while Microsoft Access files have several formats, such as Microsoft Access Database (MAD) or Microsoft Access Workgroup (MDW). Microsoft Access data cannot be imported into FileMaker Pro. However, files can be exported from Access in a format that is compatible with FileMaker, such as comma separated values (.csv), then the compatible file format can be imported into FileMaker.

Instructions

  1. Export the Access Data as a Format Compatible with FileMaker Pro

    • 1

Launch Microsoft Access. Click "File," then "Open," and navigate to the file you want to export. Double-click it to open it in the Access workspace.

    • 2

Click "File," then "Save As." The "Save As" dialog window will open. Select ".csv" from the "Save as type" drop-down list. There are several other file formats that are compatible with FileMaker Pro that the file can be saved as, such as text (.txt) or tab separated (.tab). Select the format you are most comfortable with.

    • 3

Type a name for the Access file in the "File Name" box, then select a location to save the file. Click the "Save" button.

Import the Access File into FileMaker Pro

    • 4

Launch the FileMaker Pro application. Click "File," then select "Import Records" from the drop-down list. The Import dialog window will open.

    • 5

Select "All Files" from the drop-down list in the "Files of Type" box, then navigate to the saved Access file. Double-click the file name and it will populate the "File Name" box.

    • 6

Click the "Open" button, then match the field names from the Access file to the field names of the FileMaker Pro target file. For example, if an Access field has (555) 555-1111, then match it up to the FileMaker target field "Phone Number." Click and drag the field entries so they match.

    • 7

Click the "Scan Data" button to have FileMaker automatically scan and verify the import order to make sure all the fields match.

    • 8

Select "Add new records," "Replace data in current found set" or "Update matching records in current found set" from the "Import Action" box. Choose the action that is appropriate for the situation. Click the "Import" button and the data will be imported into FileMaker Pro.
