How to Troubleshoot Fax Issues
Several fax machines are available, from fax modems to all-in-one devices that include a printer, fax, scanner and copier. Troubleshooting will vary depending on the type of fax machine you use. Warning: when opening sections of the fax machine, some parts are hot and can burn you if you come in contact with them.

Check that the fax modem or all-in-one device is securely plugged into the power outlet or surge protector. Look for the "Power On" switch and verify that it is in the "On" position. After you determine it is not the power source that is causing the problem, make sure you turn the fax off and unplug it before you continue troubleshooting.

Open the paper feeding tray(s) to check for any paper jams. You may have several locations to search depending on the type and size of your fax machine. Gently remove jammed paper. If you pull too hard on the paper, it can rip, leaving you with several small pieces to remove.

Check the toner cartridges. This can vary from a large cartridge to several small black and color cartridges. Be careful when removing the cartridges as the toner can get messy. Before replacing them completely, shake the cartridge to loosen up the toner and replace it; sometimes it may last awhile longer. If any of the cartridges are empty, remove and replace them according to your fax machine's directions. Turn on the fax machine to check if you have the latest drivers.

Open the device manager for Windows. Click "My Computer" and choose "Manage" and click on "Device Manager." Click "Modems" and then choose your modem. Choose "Properties," "Diagnostics" and then "Query Modem." The dialog box will state if your fax machine is communicating properly with the driver. If there are no issues, send a test fax. If the fax modem does not communicate, look for configuration, connection or modem failure issues.

Print a test page to check if the print is clear and even and if the black and color ink is appearing. You can also check for alignment during the test page. Most printers have options to correct problems on the test page, from cleaning the heads of the all-in-one device to adjusting the print output on fax modems. After you make corrections, reprint a test page.
