How to List Data in a Row in an Access Database Report

Microsoft Access is a database application that is used as part of the Microsoft Office suite of programs. Access provides a means to easily store and compare similar types of data. This data can then be searched and sorted using a query, or the data can be evaluated and turned into a report. Access features a tool called the "Report Wizard" that permits a great deal of customization in terms of the report layout. Among these features is the ability to list data in a row instead of in a tabular format.

      Navigate to your Access database file, then double-click the file to open it.

      Click the "Create" tab at the top of the screen (Access 2007) or the "Reports" option in the "Options" column (Access 2003 and earlier).

      Select the "Report Wizard" option (Access 2007) or the "Create report by using wizard" option (Access 2003 and earlier).

      Click the drop-down menu under "Tables/Queries" and select the table that the report will be generated from.

      Select the fields in the "Available fields" column that will be included in the report, then click the ">" to add them to the "Selected fields" column.

      Click the "Next" button, then select the method in which your fields will be sorted, as well as the order in which they will be sorted.

      Select the "Next" button, then click the "Columnar" option in the "Layout" section. This option configures your report so that data is listed by row, as opposed to the default "Tabular" option, which lists all the data as it is stored in the database table.

      Click the "Finish" button to generate the report.

Tips & Warnings

  • To have more control over the layout of your Access report, consider using the "Design view" option for generating Access reports. This can be found under the "Create" tab in Access 2007, or in the "Reports" section of earlier Access versions.
