Fax machines serve as important equipment for many offices. The ability to send and receive hard-copy documents and signature pages is often critical for businesses. While many fax machines automatically receive faxes, several models are configured with a handset for phone calls and require user involvement to receive an incoming fax.

      Pick up the handset when the phone rings. If using a fax machine for both calls and faxes, picking up the handset is necessary to determine whether the line is engaged for an incoming call or fax.

      Press the "Receive, Fax or Start" button when you hear fax tones. Fax machines communicate by using a string of mechanical sounds transmitted over the phone line. Once you hear these sounds, press the appropriate button to switch the fax machine to fax mode.

      Hang up the handset. Once the fax machines have connected, you can hang up the handset, and the fax will receive and print the document.

  • Some fax models can be set up to always be in fax mode. Check your owner's manual to see if your model is equipped with this feature and how to enable this option.
