Basic Database Tutorial
-
1
Select "Blank Database" at the top of the main screen when you open Microsoft Access 2007.
-
2
Type in the title of the database in the space provided in the right-hand column of the screen. Click "Create" and the basic database window will open automatically.
-
-
3
Click "Add Field" to type in the column name. If you are making a basic contact information database you will want to include a column for First Name, Last Name, Address, Email and Phone Number. The I.D. column is automatic and will number the items as you enter them into the database.
Or click "Fields" in the menu at the top. You'll see two columns listed, "Field Name" and "Data Type." In the first column you will type in the column headings; in the second, you will select the type of data, such as text, numbers, etc.
As long as you are in the tab labeled "Datasheets" you will be able to use the controls at the top.
-
4
Click "View" in the left-hand corner of the menu at the top then select "Design View."
-
5
Type in the name of your table when the "Save As" window opens and click "OK."
-
6
Insert data into your datasheet by clicking in the "First Name" column and adding pertinent information. To move from column to column in the same row simply press "Tab" on your keyboard. When you have one entry complete, hit "Enter" on the keyboard and it will move you to the next row to insert another entry.
-
7
Save often as you enter data to ensure no data is lost. As you change window views the program will usually ask you automatically if you want to save.
-
8
Sort your database as needed. For a basic contact information sheet, you will probably want to sort the "Last Name" column in alphabetical order. Click on the "Last Name" column heading and select "Sort A-Z" to sort the list in ascending order.
-
9
Click and drag a column heading to move the entire column to another place. This is an essential tool if you decide after entering the data that you want to see the Last Name column before the First Name column.
-
10
Explore the tabs at the top and play around with the different views and options for a database. If you make a mistake, you can hit the "Undo" button to go back or close out without saving and reopen your last saved database.
