Use your copier as an electronic storage room for your files.

The digital copiers manufactured today come loaded with many features. Among these are the ability to store documents electronically on the hard drive of the copier. Each manufacturer has a different name for the feature and their steps may differ slightly from those described here, but the general process follows these. Not all copiers have the feature of storing files electronically so check your user's manual to see if your particular model has this feature.

      Select that Document Manager button on the copier. The name of the feature will be different depending on the manufacturer, but in essence, storing files electronically into the copier is a form of document management. Pressing this key will bring up the user interface for the document manager and will allow the user to enter information about the file he wishes to store.

      Place your documents into the document feeder. Depending on the capacity of the document feeder on your copier, you should be able to place up to 50 pages into the feeder that you wish to convert to a digital format and store on your copier.

      Select which options you want. If you want your stored document to be two sided or in a booklet mode, select these features from the copier menu at this step. You may also select color or black and white if your copier is color capable.

      Press the Start button or, if applicable, the Scan button. Either of these selections will begin the process of scanning your documents into the copier.

      Select the storage location. Many copiers use mailboxes that can be individually named and even password protected. Others may use numbered locations. Whichever method your copier model uses, be sure to select the destination you want. This is where your documents will be stored.

      Rename your document. Most manufacturers assign a serial number to each scanned file. To make retrieval easier, rename the document something indicative of the content.

Tips & Warnings

  • Check your settings to see how long scanned documents will be stored on the copier. These settings are user adjustable and should be checked to make sure that no file is stored longer than desired or is automatically deleted.
