Printing a PDF in Access is possible using the local print option available on your computer. Access database reports, forms or query results can be printed to a PDF format. The process of printing to a PDF format makes the information stored in the Access accessible to a wider range of users, including individuals with disabilities. PDF is a standard electronic document format, and Access adheres to this standard by providing the ability to create this format.

Instructions

      Launch Microsoft Access.

      Click "File" and then "Open" to view the "Open" dialog box folders.

      Browse to the location of a Microsoft Access database file.

      Click on the Access database file and then click the "Open" button in the bottom right section of the dialog box to display the Access database.

      Click "Create" and then "Form" to see the database information form displayed.

      Click the "Record" arrows at the bottom of the form document window to review the form for each record.

      Select a specific "Record." For example, to display the form with "Record" No. 6, type the number 6 in the "Record" window box or click the "Record" arrows until you get to record No. 6.

      Click "File" and "Save" to display the "Save As" dialog box for the form.

      Give the form a name and type it into the "Form Name" field and click "OK." The new "Form Name" is created and displayed in the "All Objects" window to the left of the forms display window.

      Click on the form name to be printed in the "All Objects" left window pane.

      Click "File" then "Print" to display the "Print" document window in the right window pane.

      Click "Print" again in the right window pane to display the "Print" dialog box.

      Click the "Name" field drop-down menu in the "Printer" section and select the PDF print name available on your computer.

      Click "OK" to display the "Save PDF File As" dialog box and type a name for the Access PDF in the "File name" field.

      Click "OK" and the "Creating Adobe PDF" dialog opens and the PDF Access form printed in PDF format is displayed.
