How to Create Forms in MS Access 2003

Forms in Microsoft Access 2003, a database software program, are objects used to make data entry easier. By creating forms, you can do things such as design an environment for data entry that matches the look and layout of a paper form or make it easy for the user to focus on one record at a time. Forms are always based on existing tables (or queries, which are tables that have been filtered in some way) in the database. Before you can create a form, there must be at least one table in the database. There are several ways to create a form within Microsoft Access 2003.

      Select the table or query that the form will be based on from the main database window, then click the "AutoForm" button on the right end of the toolbar. This is the simplest method for creating a database form, but it is also one that yields the fewest options. All fields from the original table or query are automatically shown in the new form with this method.

      Launch the "Form Wizard" by clicking on the "Forms" button on the object bar at the left side of the main database window. Double-click the "Create form by using wizard" link. Select the table(s) or queries that your form will be based on and click the "Next" button. Continue making selections about your form's fields, layout and style, clicking the "Next" button to advance to the next screen of options in the wizard. Click "Finish" to create your form.

      Double-click the "Create form in design view" link from the object bar in the main database window to launch the design grid for creating your form. Right-click anywhere on the design grid and choose "Properties" from the shortcut menu that appears. Make sure the "Data" tab is enabled, and click on the "Record Source" line to choose the table or query that your form will be based on. A field list box will appear, representing the table or query that you choose. Double-click each field name to add a set of controls representing that field to the form design grid. Drag each control using the mouse pointer to reposition the controls as desired. Switch to "Form" view by clicking on the "View" button at the top of the screen to view your completed form.
