How to Write a Memo on Directions

How to Write a Memo on Directions thumbnail
A checklist can form part of your memo on directions.

Following directions is necessary for continuity and the delivery of quality service and products. Giving directions in the workplace might seem like an easy task at first, but the challenge is conveying the information precisely and clearly, leaving little room for ambiguity. The best way to write a memo on directions is to put yourself in the position of the reader and follow the directions yourself to see if they make sense. Keep it simple and you will ensure that the directions are followed accurately every time.

Instructions

    • 1

Address the memo to the specific audience, include from whom it is originating, as well as what it is in reference to, at the top of the letterhead or sheet. Date the memo in the right-hand corner.

    • 2

Start with the finished product or task and work backward. If you are describing how to assemble something or complete a report, for example, explain what end result is expected so the reader understands the memo's purpose immediately.

    • 3

Use letters or numbers to break down the steps of your directions. This format will allow the reader to follow along easily and will give him the option of referring to particular steps if clarification is needed.

    • 4

Write no more than two sentences per step to avoid confusion, using easy-to-understand vocabulary.

    • 5

Insert diagrams or pictures and label accordingly to illustrate the directions.

    • 6

End by thanking your readers for cooperating.

Tips & Warnings

  • Use a bold font or italicize words to draw attention to particular steps in the memo where special emphasis might be needed.
