If you have a company with may locations around the nation, setting up a conference call is efficient and easy to do to ensure everyone can be present for a given meeting. Conference calling also allows you to make calls to those outside of the company, instead of spending money traveling to meetings. Communication via the telephone is faster, and makes it possible to negotiate and get replies quicker than through email. Since many use Microsoft Outlook in a business setting, scheduling a conference call is easy and ensures everyone gets the memo.

Instructions

      Open up the Microsoft Office Communicator program. Communicator is ideal to use for sharing applications between those in a conference or chat, as well as instant messaging and video conferencing.

      Select "Actions" and then "Schedule a Conference."

      Enter all of the email addresses into the "To" box that you want to be part of the conference call. List each one in the box, and separate them using a comma or semicolon.

      Alert those on the email list to your conference call by naming it in the Subject line of the email. This will allow others to easily see it and not let it sit in their inboxes. For example, name it Important: Conference Call 9-24-10. The date will alert them that it is coming up.

      Enter in the start and end time for your suggested conference call. Set it a few minutes earlier than you want it to actually begin to ensure that everyone gets there on time. Though the time is sent within the email, those who are late will still be able to join in the conference.

      Send your invitation to those on your email list by pressing "Send."
