How to Create & Send HTML Email

HTML email is used by business and organizations for promotions and marketing campaigns, due to the flexibility of its content display. With HTML, graphics, banners, and animation can be designed to give the email the "professional flare" needed to catch the attention of the reader. Despite its innovative and advanced nature, some users find t difficult to do the coding involved. HTML emails require embedded coding to lock in the position and graphics for proper placement and display in the email. But luckily, pre-made templates are available to make the job easier.

      Access the pre-made HTML email templates site to obtain an embedded code for your email composition. (See resources for the HTML email template resource site link.)

      Scroll down the page and notice the four thumbnail images that outline layouts for HTML email setup. These images serve as blueprints for how the base of your email will appear upon creation.

      Click the "Download HTML Email Templates" to download and choose one of the four template layouts you'd like for your email. Select the "Save" option, then unzip the file to view the template. (See "Warnings" if you do not have software to unzip the file. Resources are available to resolve this issue.)

      Replace the stationary information in the HTML template with the pictures, colors, text, and font style of your choice. Copy the CSS code that will be visible at the bottom of the template to transfer it to your email.

      Log into your email account with the emailing client your account is registered with. (Ex. MSN, Gmail, Yahoo!, YMail, and RocketMail are all common emailing clients.) Click the "Compose" or "New" action in your email account home screen to prepare the new email message.

      Type the email address of your recipient into the "To" data field at the top of the email table.

      Change the email setting to HTML. This action will enable the code to be displayed properly as opposed to the CSS code begin visible.

      Click the "Send" action at the bottom of the email composition to send the HTML email message to your recipient.

Tips & Warnings

  • Keep the HTML design simple to ensure your message is clear and concise. Nothing should overshadow the content. The HTML graphics should only enhance the display, not detract from it. Keep graphics to a minimum since they tend to slow the loading process

  • If you are unfamiliar with CSS coding for HTML email creations, you may want to consider using pre-made HTML templates in which codes can be copied and pasted directly to your email composition. Sites like MailChimp.com offer these particular templates. (See resources)

  • A zip file extractor will be needed to unpack the HTML email templates. Sites like WinRAR.com and WinZip offer freeware downloads for zip file extractors. Access one of the sites and select the download option available on the home page, and store the program to your computer. The zip file will open with this program automatically.
