1
Visit an online bus tour booking service to browse the various trips available and pricing information. Collect information for at least three different tour packages so that you can make a final choice.
You can also charter a bus for a flat fee to visit any destination you wish in the United States. The charter bus types you can book include standard full-size coach buses, midi buses, limo-buses, double-deckers and even school buses.
-
2
Choose a final destination for your bus trip based on the available packages. You can send an email to your intended invitees with three destination choices for the opinions from your family and friends (the destination with the most votes wins). Or, select the destination on your own to reduce the possibility for confusion and conflict.
If you are charting a bus on your own, you may pick any destination you want.

3
Set a firm date for the bus trip that's consistent with the schedule of the majority of your intended invitees. Choose a booking date that is at least two months into the future so that your invitees have plenty of time to take time off of work and prepare for the trip.
-
4
Get a final tally of how many people are participating in the bus trip before you book the bus tour package or charter bus. The best way to do this is to ask for each person to pay a portion of the deposit due on the bus by a certain date and time. The final number of people who pay by that deadline are the final list of attendees. This will allow you to choose a bus that can accommodate all of your invitees and also assure that you won't get stuck paying the deposit on your own.
-
5
Place the deposit to book the vehicle. Send another email to the final list of participants containing information on when and where to meet, any stops during the trip, any hotel accommodations and the final balance due.
-
6
Follow up with bus company before your trip to make sure everything is all set for your schedule.

Tips & Warnings
Keep in mind, when planning your trip it's almost impossible to organize an outing with 100% of your friends and family on board for the same date. Accepting the fact that 100% attendance is unlikely will make your planning process simpler.
