How to Write a Complaint
Simply scrawling your feelings onto a piece of paper can be cathartic, but there is a certain art to writing a letter of complaint. This is especially true if you want your complaint to be addressed. Whether you're writing a complaint about your own company, another business or to someone you care about, be concise, accurate and of course, considerate of the recipient's feelings. Although it may be painful or uncomfortable, the end result will be worth your time and energy.

Begin your letter with something positive about the company or person you're writing a complaint to. This will ease the blow of your complaint and the recipient will be more receptive to what you have to say.

Allude to the issue at hand. Again, this softens the blow and creates a much more diplomatic sentiment. For example, if you're writing a complaint about a malfunctioning appliance you recently purchased, you may begin the letter like this: "It is understandable that a company that supplies so many appliances would experience a faulty one every once in a while."

Express your problem after that sentence. Explain in detail what issues you experienced while being professional and courteous at the same time.

Specify what you would like the company to do in order to rectify the mistake or fault.

Finish your letter by indicating that you would like to continue supporting the company and why it's beneficial for the company to grant your request.

Include any photographs or documents that pertain to your complaint. This will bolster your complaint and increase the likelihood of it being addressed.
