How to Change the Data Source for an Access Report

Microsoft Access is a lightweight database solution for small- to medium-sized businesses. Microsoft Access provides users with the tools to make a database that contains company information, and it also has reporting capabilities. Access reports are used to analyze the table data and view the company information in an attractive form layout. The reports use a data source to retrieve the report information. This can be the current Access database or an external source such as a SQL Server or even another Access file.

  • Open Microsoft Access. Click "Reports" at the main window to view a list of reports programmed on the database. Right-click the report you want to change and select "Design View."

  • Click the "Tools" menu item and select "Convert Main Data Source." At the first connection screen, click "Next."

  • Select "Database (Microsoft SQL Server or Microsoft Office Access only)" and click "Next." The next window prompts you for a data source.

  • Click "Change Database." This opens a new window. Click "Browse" and select your new data source. This can be an SQL Server or another Access database file located on the machine. Click "Open" when you have made your selection.

  • Select the tables from the database. You can select one or several tables to use as a data source in your report. Click "Next." Choose "Finish" at the final summary window. Your Access data source is changed.
