How to Write a Thank You Note After a Phone Interview

Whether you attend on on-site interview or a phone interview, it is important to write a thank you note. This note has a few purposes, including showing appreciation for the employer’s time, reminding the employer of your interest and providing additional information the interviewer requested. According to Virginia Tech Career Services, a thank you note should be sent within two days after the phone interview.

      Write the header of the thank you letter. The first line of the letter should include the date (month day, year). The second section should include the hiring manager’s name, title and address.

      Address the interviewer appropriately. For female managers, address the letter “Dear Ms. Smith:” For male interviewers, address the letter “Dear Mr. Smith:” Use a colon after the name (this is more formal than a comma).

      Write an introduction paragraph. The first paragraph should state that you enjoyed the interview on the particular date and note what you specifically enjoyed. For example, you might say "I enjoyed learning more about the management training program during our May 1 phone interview."

      Write a paragraph that summarizes your qualifications and experience. In this paragraph highlight what you talked about during the phone interview. For example, you might say "As discussed in our phone interview, I earned my Bachelor of Science degree in marketing communications." You should also mention the skills you gained through professional experience, internships or community service.

      Write a sentence or two that addresses enclosures. For example, if the interviewer asked for a college transcript or recent sales result, reference your enclosure of these materials.

      Thank the hiring manager for an opportunity to interview. Express your interest in the position again and ask for an on-site interview. Include the best way to reach you, such as email address or phone number.
