How to Create a Shift Schedule
Work environments including call centers, convenience stores and retail outlets rely on shift based schedules for a variety of reasons. Customer based environments rely on shift workers to ensure that the store or phone lines are properly staffed and open for customers, while production environments rely on shift workers to keep product and assembly lines moving. Shift schedules can be permanent or rotating.

Determine your needs. Use historical data and trends, to help predict staffing needs. Take into account any local events and upcoming holidays that may provide an increase, or decrease, in production, so you can plan staff accordingly.

Start a spreadsheet. Spreadsheets can be done on paper or with the help of a computer program. List employee names on the left side of the page. Across the top, indicate the date and day of the week. Starting a spreadsheet will allow you to easily verify coverage on all shifts at a glance and determine the order for rotating schedules, if necessary.

Fill in permanent schedules. Employees with set schedules, including managers and supervisors, should be filled in first. Schedule those with personal days and vacation requests for the scheduling period next.

Complete the remainder of the schedule. Schedule the remainder of the full-time staff by shift. Use part-time workers to fill in any gaps or to provide extra coverage on busy shifts. For spreadsheets done by hand, it's easier to complete it in pencil so changes can be made before posting the final schedule.
