Most people don't like to receive sales calls, especially when the call comes right out of the blue. Because cold calling is such an intrusive technique, the average consumer does not respond well to this type of selling. But if you seem interested in their product over the phone, cold callers may send a follow-up letter to try to get your business. Whether you want the product or not, it's important to know how to respond to a follow-up letter.

      Take a few minutes to think about whether you want this product or not. Before you respond to a cold call follow-up letter, decide on a definite "yes" or "no" answer.

      Format your response letter professionally. Type it using 12-point font and Times New Roman or a similar font, and use double spacing between each section. Make sure everything is flush on the left of the page, and use 1-inch margins all around (see Resources).

      Enter the date at the top of the letter. Skip a line and type the business name and address under the date. Skip a line and write your salutation, either "Dear (insert cold caller name)" or "To Whom It May Concern." Skip a line and prepare to write your letter (see Resources).

      Set the tone of your letter with the first few sentences. If you are interested in the cold caller's product, begin pleasantly with something such as "I'm writing in response to your follow-up letter about product so-and-so. When we spoke previously over the phone, you captured my attention and I am interested in conducting further business with you." However, if you are not interested in the cold caller's product, set the tone by starting out with something like "I'm writing in response to your follow-up letter about product so-and-so. I am not interested in your product, and if I mislead you into thinking otherwise, please accept this letter as a formal denial for any further correspondence. Please do not contact me again."

      Skip a line and finish the letter with "Thank You." If you want to hear back from the company, type your name four spaces under this with your email and telephone number. If you do not want to hear back from the company, simply type your name.

      Print the letter and sign it above your typed name. Place the letter in an envelope and address it to the cold caller. Place "ATTN:" and a specific person's name if you have one, so you can be sure the right person receives the letter.

Tips & Warnings

  • A cold caller will typically write a follow-up letter if they believe you are interested in their product. But if they get a forceful "no" when they first contact you, they will likely not waste their time trying to get back in touch with you.
