Using QuickBooks 2009 to run company payroll can be a money-saving measure for a small business with basic payroll requirements. Processing payroll with QuickBooks requires that you subscribe to one of three QuickBooks payroll services that, depending on the level of service, provides tax information, calculates deductions and withholdings and assists in tax preparation. Taking on the responsibility of payroll requires that you maintain accurate basic information. If you make changes, such as modifying a payroll date or payroll frequency, QuickBooks 2009 must reflect this change to configure payroll amounts.

      Open QuickBooks 2009 and select the Payroll Center main menu tab. Choose "Related Payroll Activities," then "Add or Edit Payroll Schedules" to open the "Payroll Schedules" window. If you pay employees at different times, such as bi-weekly payroll and monthly commission payments, more than one schedule will appear in the "Payroll Schedules" window.

      Choose the schedule for the payroll date you want to modify and select "Edit Payroll Schedule" to open a new "Edit Payroll Schedule" window.

      Choose from the list of available options to modify a payroll date. Options include payroll frequency, a pay period end date or the pay period date you want to appear on paychecks. You can also specify a date you want to use for the first and second pay periods of the month when paying employees on a bi-monthly or monthly schedule by selecting the date from a calendar drop down list.

      Click "OK" and then "OK" again to close all windows and record changes.

Tips & Warnings

  • QuickBooks Payroll subscription services include a basic service that provides tax schedules and automatically calculates payroll deductions, an enhanced service that also generates federal and state tax forms and an assisted service that takes care of payroll responsibilities for you.

  • The Payroll Center main menu tab does not appear in QuickBooks 2009 by default. You must subscribe to one of QuickBooks payroll options for the tab to appear and be active.
