Global business makes international communication necessary. Email is a fast method of exchanging documents but, in many cases, you will have to scan them into the computer first. You can eliminate this step if you send documents directly through a fax machine. To send a fax to Japan, your telephone service should include an international calling plan.

      Use a word processing application to prepare a fax cover sheet. For instance, Microsoft Word provides several templates you can use. Enter the name of the contact or business you are sending the document to, as well as the fax and phone numbers. Also type your name, your fax number and your phone number. Enter the number of pages you are faxing, including the cover sheet, so the recipient knows what to expect. Print the form.

      Gather or print the documents you wish to send and arrange them in the order they should appear. Ensure that they are legible.

      Place the fax cover sheet on top of the documents. Insert the pages into the appropriate slot on your fax machine. Typically, the text on the fax form should face the slot. Refer to the fax manual for the manufacturer’s directions.

      Put the fax machine on speaker mode and wait for a dial tone. The directions may differ for your machine, so it is best to refer to the manual for clarification.

      Press “011” on the number pad. This is the access code to make international calls from the United States. Press “81,” the international code for Japan, then enter your contact’s city code and fax number.

      Wait for a connection. When the call has connected, the fax machine will emit a constant high-pitched tone. Press the “Start” button to begin faxing the documents. When the process is complete, the machine will disconnect and may print a short report to let you know whether the fax was successful.
