How to Format a Comment in Powerpoint

During any Microsoft PowerPoint presentation project or slideshow, you might find it necessary to add notes or comments to your slides. Whether it's for reference later on or to clarify a point in a particular slide, comments help add extra explanation to your slides and your project. Most versions of PowerPoint treat comment formatting in about the same manner with only a slight variation in the way you must insert a comment into an individual slide.

      Open your project in Microsoft PowerPoint and navigate to the slide where you wish to insert a comment.

      Click "Insert -> Comment" in Microsoft PowerPoint 2003 or "Review -> New Comment" in Microsoft PowerPoint 2007. Both of these commands can be found at the top of the window in the menu. Your comment will show up like a little Post-It note and bear the username of the person creating the comment. For instance, if you logged in as Jim H., the comment will show Jim H. as the author.

      You can change this preference by clicking the top left button (which is usually called the "File" button, but is not labeled as such in Microsoft PowerPoint 2007) and selecting "PowerPoint Options." Under "Popular," enter a new username for your project, and the comments will now bear this name instead of the initial login name.

      Drag the comment to the appropriate location on the slide. You can move it virtually anywhere by dragging and dropping it with the mouse.

      Double-click on the comment or select the "Review -> Edit Comment" command from the toolbar to type new text into the comment box. Click out of the box when you're finished typing and save your project.

Tips & Warnings

  • Note that these comments will publish with your presentation or slideshow. If that was not your intention, and you wanted to add comments as notes that will not be published, click in the area underneath each slide in the "Click to add notes" section to add notes that will appear while you create the project but will not publish when you create the slideshow or final presentation
