Modify estimate numbering to suit your needs in QuickBooks.

An estimate is a written approximation of the cost for a task or service. Because creating an estimate has no impact on financial records, QuickBooks creates a placeholder account called "Estimates" in the Chart of Accounts to enable storing estimates without having them appear in Profit & Loss statements. When you create your first estimate, QuickBooks uses the number one (1) as the default start number. If you prefer using a different numbering system, QuickBooks provides an option to change the estimate numbering.

Instructions

      Locate and open the last estimate you created by selecting the "Customer Center" from the "Customer" tab on the QuickBooks main menu, then click the "Transactions" tab, and the click "Estimates." Double-click the estimate to open.

      Enter a new estimate number in the "Estimate #" text box according to how you wish to change the numbering system. QuickBooks will use this number and increment by one on the next estimate. For example, if you change the estimate on this invoice from 56 to 1000, QuickBooks will use 1001 instead of 57 on the next estimate.

      Click "Save & Close" to commit the change and exit the customer estimate.

Tips & Warnings

  • You can set QuickBooks to warn against entering duplicate estimate numbers in the event changing estimate numbering results in duplicate numbers. Select "Preferences" from the "Edit" tab on the QuickBooks main menu, then select "Jobs & Estimates" and click the "Company Preferences" tab. Place a check mark in the "Warn about duplicate estimate numbers" box to activate this feature.
