How to Sort Distribution List Members by Company

How to Sort Distribution List Members by Company thumbnail
Sort a distribution list's members by company name.

Distribution lists allow you to manage and send emails to a group of contacts in Microsoft Outlook. The sorting options for distribution lists are name and email address alone. The name category in a distribution list displays whatever the contact is filed as. Before you sort your distribution list by company name, you should check how each contact is filed. If the list is filed by the person's name, you will need to update the contact information first.

Instructions

    • 1

Open Microsoft Outlook and click on the "Contacts" folder. Open the distribution list you want to sort by double-clicking on it.

    • 2

Update any names that are displayed by the person's name (under the "Name" category) by double-clicking on the name.

    • 3

Remove the name from the "Full Name..." so it's blank. Then change the "File as:" option, so it begins with the company's name. You may add the person's name behind the company's name (ex., "Company (Person's Name)").

    • 4

Click on the "Save & Close" button and press "OK" to return to the distribution list.

    • 5

Repeat Steps 2 through 4 to update additional contacts, which don't display the company's name, until you have updated all members.

    • 6

Sort the distribution in company order by pressing the "Name" category. Pressing the category twice will sort your list in ascending or descending order.
