Forms in Microsoft Access is a way to add data to a table in a user-friendly way. Forms provides a user interface so that the user work in an Access database in a way that is more familiar to them. Subforms are added to other forms so that related data can be added to several different tables at one time. For instance, you may have two tables called "Students" and "Teachers." Adding a "Teachers" subform to the "Students" form, you can update the "Teacher" information for a particular student without using a separate form.

Instructions

    • 1

Open up the main form that will hold the subform.

    • 2

Add the subform by clicking on the "Control Wizards" tool and then "Subform/Subreport."

    • 3

Click on the spot on the form where you want to add the subform. A wizard opens to add the subform. Go through the wizard to assign the subform to a certain table. When you are finished with the wizard, Access will add it to the form and set up the relationship between the form and the subform to the related tables.

    • 4

Save the form and go to Form View by clicking on the "Form View" button on the toolbar. Enter the information in the subform. Once you move on to another field or a new record, Access automatically saves the entered data into the table.
