How to Create a Meeting Room Calendar in Exchange 2003
The Microsoft Exchange 2003 server is a client-server that is most commonly used for syncing mail between people in an office environment. The Exchange 2003 server is compatible with Microsoft Outlook 2003, which is an email and task manager application. With your server set up you can create calendar event and send meeting requests to other people in your office. Once you schedule a meeting you will also book the meeting room that is available so that there are no scheduling conflicts.

Open your Microsoft Exchange 2003 server on your computer. Click on the "Active Directory Users and Computers" option.

Create a new user account in the "User" field and create a new Exchange mailbox for the account. Type in the type name of the meeting room in the "Display" field.

Configure the new account by logging into your Outlook application. Click on the "Tools" option in Outlook and then click on the "Options" option.

Click on the "Preferences" option and then click on the "Calendar Options" button. Click on the "Recording Schedule" option.

Click on the box next to the "Automatically accept meeting requests and process cancellations" field so that it's checked. Click on the box next to the "Automatically decline conflicting meeting requests" field so that it's checked.

Click on the "Apply" button and then click on the "OK" button. Click on the "File" option again and then click on the "New" option. Click on the "Meeting Request" option.

Select the start and end times for the meeting, and then click "Invite Attendees" button. Search each attendee by typing a person's name or email address. Select the "Resource" option next each attendee.

Type the name of the location in the "Resources" box and the click on the "OK" button. Click on the "Send" button to send your meeting room request.
